Location: Glasgow-based office with remote working available

Contract Type: Part-Time, 20 hours per week, 3 days per week. (Working pattern to be agreed)

Reports to Programme Manager (The Exchange)

About The Exchange

The Exchange is Entrepreneurial Scotland's peer support programme, bringing together ambitious founders, CEOs, MDs and senior leaders from across Scotland. Members are placed into curated peer boards where they receive honest challenge, practical support and trusted connections to help them lead and grow more effectively. Through structured board sessions, mentoring and exclusive events, The Exchange creates a confidential space for experienced leaders to learn from one another and accelerate their personal and business growth.



Overview of Role

The Administrator will play a key role in supporting the Programme Manager to deliver the Exchange Programme and its associated events. This varied role covers member onboarding, programme administration, and financial oversight. We’re looking for someone highly organised, proactive, and self-disciplined. The role will suit a self-starter with the ability to take ownership and management of their work. The ideal candidate will combine excellent administrative and project management skills with strong attention to detail and a commitment to exceptional member service.


Responsibilities


1) Operations & Programme Administration

  • Programme Support: Assist with the daily operations of the Exchange programmes, supporting their seamless delivery from initiation to completion.
  • Member Onboarding: Welcome new members, ensuring they are fully integrated into our network, and provide them with the resources and guidance needed.
  • General Administration: Handle member-related administration, including contract management and onboarding documentation, while maintaining accurate records. Arranging and diarising regular meetings.
  • Event Coordination: Plan and execute in-person events, which includes sourcing and securing venues, coordinating logistics, managing catering, and ensuring facilities meet event requirements.
  • Stakeholder Engagement: Collaborate with the Programme Manager to engage and recruit speakers, mentors, and supporters. Build initial connections and manage ongoing relationships.
  • Member Relations: Regularly liaise with members to gather feedback, assess their needs, and help implement improvements in programme delivery based on insights.

2) Finance and Governance

  • Data Protection and Compliance: Ensure adherence to Data Protection regulations and Financial Regulatory policies, actively updating practices as directed by the organisation.
  • Accounting : Submit any payable invoices to Financial Controller and advise of any likely costs on a timely basis. Liaise with Financial Controller to advise of members to be invoiced and credit control thereafter where required.

3) Programme Improvement and Promotion

  • Continuous Improvement: Contribute to enhancing the Exchange programme, finding ways to differentiate our offerings from competitors and optimize resources.
  • Promotion and Advocacy: Actively promote Entrepreneurial Scotland’s services and collaborate with the broader ES team to maximize outreach and engagement.
  • Opportunity Identification: Proactively identify and act on opportunities to positively promote ES’s mission, brand, and programmes.


Job Essentials
  • Minimum of 2-3 years’ administration experience in a customer-facing role
  • Strong project management, communication, and organisational skills, with good attention to detail.
  • Resilient in high-pressure environments and adept at liaising with external vendors and partners.
  • Proficiency in MS Office (Word, Excel, PowerPoint), with excellent document production skills.
  • Collaborative team player with a proactive approach to problem-solving.


Desirable Experience

  • Experience of remote working and management of own workload


Skills and Attributes

  • Self-starter with outstanding organisational and time-management abilities.
  • Confident and able to communicate at a senior level.
  • Exceptional interpersonal skills for engaging with multiple stakeholders, with strong written communication abilities.
  • Ability to work independently, prioritising tasks and projects. with minimum supervision.
  • Problem-solver with a positive attitude and a hands-on approach to tackling challenges.
